Jasmin Reception, Scheduling, Matter Work and Deadlines

From intake to matter file,in a single flow

Jasmin answers the call, records the inquiry, schedules the appointment, and calculates statutory deadlines. The matter file emerges when you accept. Invoicing starts as a draft. You review, issue, and store.

  • Reception
  • Scheduling
  • Matter Work
  • Deadlines

Example workflow. Deadlines and drafts remain suggestions awaiting attorney review.

Data Privacy

Personal data processed in strict compliance with GDPR standards.

EU-Based Hosting

Operated exclusively on servers within the European Union.

Tenant Isolation

Data strictly partitioned per law firm at the database level.

Why Juratek Exists

Calls, emails, deadlines, and websites operate in silos

First inquiries arrive by phone, client documents land in emails, statutory deadlines are tracked in spreadsheets, and the firm website is managed by an external agency. Every handover in between is handled manually, and valuable client instructions are lost whenever no one is available to take a call.

Jasmin transforms incoming calls into structured inquiries, appointments, and calculated deadline proposals. Fee invoices are prepared as drafts ready for review. Court filing (beA) remains in your specialized litigation software.

Daily Practice

How the Matter Progresses

Four workflows on the same matter file. Jasmin prepares the groundwork.

Initial contact landing directly in the workspace

Chat or phone: Jasmin clarifies essential facts and creates an inquiry with identified practice area and contact details. Whether it turns into a formal client instruction is entirely your decision.

Roles

Who handles what

Four roles and two reception channels. Fee billing and firm website remain under your direct control. Everything links to the same case file.

Phone Reception

The phone keeps ringing while you are in court

Jasmin answers under your law firm number, clarifies client inquiries, schedules consultations, and leaves a structured call record on the corresponding matter file. Urgent matters are immediately flagged in your intake queue.

  • Reachable outside office hours and during hearings
  • Structured call protocols and compliant audio recording (§ 201 StGB) upon caller consent
  • Hands over to scheduling whenever an appointment is requested

Website Reception

Client inquiries land directly in your workspace

The same reception standard across digital channels: Jasmin receives inquiries through your website, gathers the essential factual context you need, and compiles structured requests in your workspace. You decide how to proceed.

  • Structured summaries, practice areas, and verified contact details instead of unstructured text
  • Accepting creates client records, matter files, and history with a single click
  • Declined inquiries remain documented for conflict checking and compliance

Scheduling

Consultations booked without callback loops

Available time slots sync with your calendar, while booking happens seamlessly via chat or phone. You confirm or decline, and clients receive automated confirmations—optionally after upfront settlement of initial consultation fees.

  • Appointments await your explicit confirmation before booking confirmation is sent
  • Optional online payment processing prior to consultation confirmation
  • Every appointment connects directly to client records and matter files

Matter Work

Inquire into the file, backed by precise citations

Jasmin reads case documents, file notes, and statutory deadlines, answering queries with exact page citations. For court pleadings and actions—such as unfair dismissal claims—she prepares case captions, deadlines, and motions from the case context. You review and refine in the editor. Nothing is filed or stored without attorney sign-off.

  • Answers with exact source citations, including page numbers from indexed PDFs
  • Pleading and motion drafts complete with formal captions (Rubrum) and calculated statutory deadlines
  • Attorney review and explicit save required before documents enter the vault

Deadlines

Statutory deadlines tied to the matter, with advance warning

From incoming court service or correspondence placed in the vault, Jasmin proposes statutory deadlines with reminder windows directly on the matter file. Whether calculations stand remains an attorney decision; upcoming deadlines are briefed each morning in your workspace.

  • Calculated statutory deadline proposals from filed documents, verified by you
  • Daily morning deadline briefing via email before office hours
  • Completed actions remain fully auditable within the matter file

Fee Billing

Time tracking and statutory fee schedules on the file

Record time directly against case files. Jasmin displays unbilled hours, calculates fee previews (under the German Lawyers’ Remuneration Act / RVG), and prepares unnumbered draft invoices upon approval. Issuance, cancellation, payment tracking, and DATEV export remain in the A4 editor.

  • Approval creates an unnumbered draft invoice, preserving sequential numbering integrity
  • DATEV export as CSV booking batches for your tax advisor, not Unternehmen online
  • Structured electronic invoices (XML conforming to EN 16931, not ZUGFeRD)

Online Presence

Law firm website and CMS within the same platform

Update attorneys, practice areas, publications, and contact information without external agencies. The firm website and workspace share the same platform, routing visitor inquiries straight into your matter pipeline.

  • Multilingual firm content and publishing per law practice
  • Custom domain or branded subdomain configuration
  • Inquiries and appointments flow directly into your workspace

Handovers

Six Steps

Six steps. Five of them wait for your decision.

  1. 01

    Inquiry arrives

Jasmin receives it via chat or phone—including evening hours—and gathers the factual context you require to assess the prospective instruction.

  2. 02

    You decide

    Accept inquiry

Your workspace presents the inquiry with an executive summary and identified practice area. Accepting generates the client record and matter file; declining remains documented for audit purposes.

  3. 03

    You decide

    Confirm appointment

Consultation slots are reserved and submitted for your approval, optionally following upfront settlement of consultation fees. Confirmation is dispatched to the client only after your review.

  4. 04

    You decide

    Work on the matter

Secure document vaults, matter notes, pleading drafts, and eSignatures on the file. Jasmin drafts pleadings complete with formal captions and statutory deadlines directly from case context. Whether a pleading draft is filed with the court remains an attorney decision made in the editor.

  5. 05

    You decide

    Verify deadline

From filed court correspondence or orders, Jasmin proposes statutory deadlines with lead times directly on the file. Whether calculations stand remains an attorney decision; weekly agendas appear in your morning briefing.

  6. 06

    You decide

    Issue fee invoice

Time tracking and statutory fee schedule previews (RVG) accompany the file. Approving produces an unnumbered draft. Final issuance, cancellation, payment records, and DATEV export batches remain in the A4 workspace.

Comparison

Assistant with direct access to the case file

Intake and telephony tools offer an assistant, but no case file: they capture inquiries and forward them, leaving substantive work elsewhere. Legacy law practice software holds the case file, but provides no assistant, remaining blind to your website and incoming phone calls. Juratek unites both.

Juratek issues fee invoices directly on the matter file (A4 printing). DATEV export is a CSV booking batch for your tax advisor, not a direct DATEV-Unternehmen-online sync. E-Invoicing provides EN-16931 XML for commercial clients, not ZUGFeRD and not XRechnung. Court mailbox filing (beA) remains in your existing litigation software.

Architecture

A multi-agent system that stops for human sign-off

Multiple specialized AI agents with tool access to the matter file, retrieval-augmented generation with exact citations, tenant-isolated indexes, and an approval layer binding every write operation to an explicit attorney decision.

  • Orchestration

    Specialized agents, unified data space

Reception, Scheduling, Matter Work, and Deadlines operate as distinct agents with tailored toolkits. Handovers occur not over an unpredictable chat bus, but through the shared, verified state of client and case records: what reception records becomes immediate context for scheduling.

  • Human-in-the-Loop

    Cryptographically signed tool approvals

Read tools execute fluidly; write operations never do. Every write proposal is sent to the client interface with a signed cryptographic token and strictly validated server-side before execution. If the signature secret is missing, the assistant fails closed rather than executing unverified mutations.

  • RAG

    Answers with verifiable citations

Documents, file notes, appointments, and deadlines reside in a tenant-isolated PostgreSQL vector index (pgvector). Answers cite verifiable source passages, including page numbers whenever available in source PDFs. Jasmin leverages the same case context for pleading drafts and party captions. Scanned documents undergo OCR, with repair queues for failed scans.

  • Voice

    Real-time conversational telephone agent

A dedicated voice agent answers calls on your office number, conducts natural inquiries, and schedules consultation slots. Call transcripts and structured protocols attach to the client record as soon as you accept the inquiry.

  • Isolation

Multi-tenant database isolation as an invariant

Every database query is strictly pinned to firm and matter ID; write access in matter chats is clamped to that individual case. A comprehensive invariant test suite proves scope pinning, role gating, and cross-firm isolation against live test databases rather than shallow mocks.

  • Compliance

    GDPR, EU hosting, automated pseudonymization

Operated and hosted exclusively within the European Union. Prior to model invocation, personal identifiers are replaced by stable placeholders ([Person-1], [Email-1], [Date-1]). The human approval card re-hydrates original values so attorneys verify real facts. Uploaded chat attachments expire automatically, keeping confidential context within your firm.

Architecture blueprints, security documentation, and audit findings are shared openly during our technical walk-through, including edge cases and ongoing hardening.

FAQ

Frequently Asked Questions

We answer further questions during your live demo or in writing.

Does Juratek replace my existing legal practice software?

No. Court filing via electronic court mailbox (beA) remains where it operates today. Juratek prepares fee invoices (statutory RVG and hourly fees) directly on the matter file as A4 prints. For your tax advisor, Juratek exports a DATEV booking batch (CSV). Commercial clients receive structured e-invoices as XML (EN 16931, not ZUGFeRD and not XRechnung). Added to this are inquiries, scheduling, matter files, deadlines, document vault, and your firm website.

What does Jasmin do?

Jasmin receives client inquiries via chat and phone, schedules consultation appointments, and answers factual questions regarding a matter file citing specific documents and notes—including page numbers when available in PDFs. Upon your approval, she prepares unnumbered draft invoices; final issuance, cancellation, and DATEV export remain in the A4 workspace. Jasmin does not provide legal advice. Write tools in the workspace never persist data without cryptographically signed approval. Online website reception is authorized to stage new inquiries so they arrive in your workspace queue.

Can Jasmin draft lawsuits and court pleadings?

Jasmin prepares structured initial drafts—such as unfair dismissal actions (Kündigungsschutzklage) before the labor court. She compiles case captions (Rubrum), party details, and preliminary motions, calculating statutory limitation periods (such as § 4 KSchG) from documents stored in the matter file. Pleadings open as drafts in the editor. Substantive review, legal argumentation, and electronic court filing (via beA) remain entirely the domain of the attorney. No document is filed or stored in the vault without your explicit sign-off.

What technology powers Jasmin?

A multi-agent architecture: four specialized roles (Reception, Scheduling, Matter Work, and Deadlines) operating on the same client and case state in PostgreSQL, avoiding volatile chat buses. Responses are generated via retrieval-augmented generation over the documents and notes of the active case, citing exact source pages. Every mutating tool call requires a cryptographically signed approval token. Reception is authorized to record incoming inquiries. Hosted in the EU with strict tenant isolation at the database level.

Does Jasmin decide for itself?

No. Reading permissions execute fluidly: inspecting appointments, inquiries, case documents, and deadlines. Write operations never execute without review: every modification to client data, matter files, appointments, or deadlines is presented as an explicit proposal with concrete values and is only saved when confirmed by you or your legal assistant. Website reception may stage inquiries without prior approval; you decide whether to accept them.

What happens if Jasmin misunderstands something?

You decline the proposed action card and nothing is saved to the database. Because each step in the workflow is submitted individually for attorney review, misunderstandings remain contained within the proposal step and never corrupt the matter file.

What does the AI model see of my client data?

Prior to model invocation, a local processing layer replaces personal identifying information with stable placeholders ([Person-1], [Email-1], [Date-1], etc.): names, phone numbers, IBANs, and addresses. On the human approval card and during final saving, original values are restored so you review and verify real facts. This applies across document contents, case excerpts, chat history, and matter notes.

Is DATEV integrated?

Not DATEV Unternehmen online. Juratek generates a structured booking batch as CSV for your tax accountant. Fee invoices are issued on the matter file (A4 format). Electronic invoicing provides EN-16931 XML, not ZUGFeRD and not XRechnung. Court filing via beA remains in your specialized litigation software.

Where is data stored?

On dedicated servers within the European Union. Each law firm operates as an isolated tenant with strictly partitioned database records; no query executes without filtering by the firm ID that owns the matter.

Are there team accounts with permissions?

Yes. Role-based access control provides accounts for partners, legal assistants, and read-only personnel. Legal assistants can collaborate with Jasmin and maintain case files without access to administrative firm settings.

Do I receive a law firm website?

Yes, including a multilingual content management system for team profiles, practice areas, publications, and contact details. It runs on your custom domain or branded subdomain, routing inquiries directly into your workspace pipeline.

How does onboarding work?

We configure your law firm tenant, migrate your public web content, and set up your office phone forwarding together. You can start managing matters, booking appointments, and utilizing the assistant from day one.

How am I notified of deadlines and appointments?

Every morning before office hours, you receive a structured email briefing listing all overdue deadlines, deadlines due today or tomorrow, and upcoming dates over the next 7 days. Incoming appointments and inquiries appear in real time in your workspace.

How much does Juratek cost?

For three users: 370 € per month (90 € per seat plus 100 € platform fee), excl. VAT. Appointment scheduling is fully included. Jasmin telephone AI is an optional add-on at 99 €. Following your demonstration, you receive a binding written quote tailored to your exact seat count.
